BCA Office Administrator

Summary 

The BCA Office Manager will actively support and promote the mission of Briercrest Christian Academy and Briercrest College and Seminary. The BCA Office Administrator provides a variety of general administrative and clerical services in the main office of the high school. This position will require 37 hours/week and will report to the principal of BCA. This posting will remain open until a suitable candidate is found.

Qualifications 

  • Strong interpersonal, written and oral communication skills
  • Computer skills including Microsoft Outlook, Word and Excel; Google Drive, Docs, Forms and Sheets; Canvas (online learning management system) and MSS and SDS (Saskatchewan Data System)
  • Strong organizational skills
  • Capable of managing competing priorities and planning their time and workload effectively
  • Professional and comfortable working with the public
  • Able to complete assigned tasks with minimal supervision 
  • Detail oriented while consistently completing work accurately and within expected timeframes
  • Ability to handle confidential material and maintain staff and student privacy

Desired Outcomes 

  • General receptionist duties at BCA
  • Administrative and other duties as assigned by the principal or vice-principal
  • Maintains attendance system and attendance reports
  • Various specific tasks from the following responsibilities:
  • Enters class registration and marks online to SDS
  • Manages Canvas and applies student and class changes for BCA
  • Ensures regular pick up and dispersal of BCA mail
  • Compiles/prepares daily announcements
  • Books rooms for special events 
  • Manages and updates school calendar in Outlook
  • Updates demographic forms for submission to Sask. Learning 
  • Registers class modules and credits with SK Learning (SDS) 
  • Manages student lockers and lock designations
  • Requests cumulative files and transcripts for new students
  • Assists with arrangements regarding Student Check-In Day at the beginning of the year
  • Works together with the grad committee and overall grad preparations and event planning
  • Oversees the promotion and sale of special event registrations / tickets
  • Edits and compiles school newsletters
  • Oversees scheduling of student-led conference evenings
  • Maintains office supplies
  • Oversees simple first aid (sick forms, bandages, Advil and Tylenol)
  • Manages aspects of the Drivers’ Education program
  • Processes incoming and outgoing correspondence which includes collating documents for distribution, mailing or filing
  • Assists in the tracking of the BCA budget
